Managing Job Splits and Cut Sheets in Farmshare as the Producer

This SOP explains how to review scheduled jobs, identify missing split information, and update job splits between whole, half, quarter, or mixed split types. It also covers assigning customers to unassigned splits and refreshing the page to confirm change

Key Steps

1. Review the job status and identify missing split details 0:00

  • Open the My Jobs view and locate the scheduled job.

  • Check whether the job is marked as in progress or has been dropped off. It will be in Scheduled If your processor doesn't have the animal yet, and In Progress if the animal is at the Processor.

  • Look for split-related issues such as:

    • Buyer missing

    • Cut sheets missing

    • Missing split assignments

  • Select the job that needs correction.

2. Assign a customer to an unassigned split 0:21

  • Review the split layout to see which portion is assigned and which portion is unassigned.

  • To assign a person to the unassigned split, choose one of the following:

    • Myself if assigning to your own account

    • Existing if the customer already exists in FarmShare

    • New if you need to create a new customer record

  • If creating a new customer, enter their contact information so they can receive the cut sheet request.

3. Change a split from whole to half or quarter 0:41

  • Open the split settings for the job with the three vertical dots.

  • Use the Release without refund button or the remove/change split option to modify the split type. A refund is only needed if the buyer has put a deposit down.

  • Select the desired split format:

    • Half for two equal portions

    • Quarter for four equal portions

  • Confirm the change.

  • Note that changing the split may clear existing cut sheet details for the affected portion.

4. Refresh the page to confirm new split portions appear 1:05

  • After changing the split, you may need to refresh the page.

  • Verify that the new split portions appear correctly.

  • Confirm that each portion is now available for separate cut sheets.

  • As needed, assign each portion to the appropriate customer before continuing.

5. Fill out cut sheets for each split 1:17

  • For all splits assigned to "Myself" you can "Fill in Cutsheet".

  • Complete the cut sheet as normal for that portion.

  • If additional customers need to be added, create them and enter their contact details.

  • Once added, the customer will receive the cut sheet request automatically.

6. Change a split from half or quarter back to whole 1:29

  • Open the split settings again.

  • Select remove/change split.

  • Choose whole to combine the job back into one cut sheet.

  • Confirm that the job now shows as a single whole beef cut sheet.

7. Assign mixed split types when needed 1:49

  • If the animal is not yet assigned, set the split structure first.

  • Choose the split configuration needed for the job, such as:

    • Half

    • Half and two quarters

    • Four quarters

    • Whole

  • Assign each split to the correct customer after the structure is set.

8. Update split type using release without refund when applicable 2:12

  • If you need to change the split type without issuing a refund, select release without refund.

  • Then choose remove/change split.

  • Select the new split type, such as changing a quarter to a half.

  • Refresh the page to verify the updated split structure appears correctly.

9. Confirm the final split configuration 2:35

  • After making the final change, refresh the page again.

  • Verify the job now reflects the intended split type.

  • Confirm that the correct number of portions is displayed and assigned properly.

  • Ensure the cut sheet setup matches the final split configuration before closing the job.

Cautionary Notes

  • Changing split types may clear existing cut sheet data for the affected portion, so verify details after every change.

  • Refresh the page after split changes because new split portions may not appear immediately.

  • Be careful when using release without refund; only use it when no refund is required.

  • Confirm customer assignment before saving to avoid sending cut sheet requests to the wrong person.

  • When converting between split types, double-check that the final structure matches the intended processing plan.

Tips for Efficiency

  • Assign customers immediately after creating or changing a split to reduce follow-up work.

  • Use existing customers whenever possible to avoid duplicate records.

  • Refresh only after completing a split change to save time and confirm the update once.

  • Standardize your workflow: review job → change split → refresh → assign customers → complete cut sheets.

  • Keep a quick reference of common split configurations (whole, half, quarter, mixed) for faster setup.
