Farmshare Workflow SOP: Cutsheets, Yield Reporting, Invoicing, Calendar Management, and Customization
Objective
This SOP explains how to use Farmshare to manage Cutsheets, record yield, generate invoices, review activity history, and use upcoming calendar and customization features. It is designed to help team members complete daily processing tasks accurately and efficiently from booking through customer delivery.
Key Steps
1. Start with the latest release and confirm support options 0:15
Review the latest Farmshare release so you understand what is already live in the tool.
Confirm the team is aligned on new features before using them in production.
If questions come up, use Chat with RIP first as the initial support path.
If RIP cannot resolve the issue, escalate to the Farmshare team for help.
2. Set up and verify the new Cutsheet workflow 2:15
Confirm the new Cutsheets are live in production.
Schedule time with Wyatt to configure your account if you have not already done so.
Verify that:
Your Cutsheets are loaded.
Your catalog is configured correctly.
The workflow matches your best practices.
Make sure the printed artifact matches what your team expects to hand to customers.
3. Convert legacy Cutsheets to the new format 3:06
Open a customer profile.
Locate the two Cutsheet options:
Cutsheets Legacy (still under Settings)
Cutsheets (beta) - now a main menu bar
Open the legacy Cutsheet you want to migrate.
Click the Action button.
Select Convert to New Format.
Review the conversion results:
Confirm items that mapped successfully.
Identify any flagged issues that need manual attention.
Fix any mismatched options that do not have a one-to-one equivalent in the new format.
4. Resolve conversion issues before using the new Cutsheet 4:59
If a legacy option does not exist in the new format, treat it as a required review item.
Update the new Cutsheet configuration so the customer’s selections are represented correctly.
Reach out for support if the mapping does not behave as expected.
Use the converted Cutsheet only after confirming the important selections are accurate.
5. Add yield information to a Cutsheet within a Head 7:02
Open the job's Cutsheet. Find the 3 dots.
Select Add Yield.
Enter the yield details for each item the customer selected.
Capture the following where applicable:
Weight
Quantity
Packs
Box identifier / location field
Use the box identifier to track where the product is stored in your facility or freezer.
Save the yield details once all values are entered.
6. Generate and share a packing slip 8:23
After yield is entered, open the Packing Slip option.
Download the packing slip for the customer’s job.
Use the packing slip to show:
What the customer received
Total weight
Quantity
Number of packs
Provide the packing slip along with the invoice when needed.
7. Use yield data correctly for invoicing 9:06
Enter total weight for each item so it can feed into invoicing.
Use quantity and packs as supporting details when needed.
Do not worry about individual package weights in the yield screen.
Understand that the yield screen is designed to support the next step: invoice generation.
8. Create invoices from the new invoicing screen 10:14
Open the new invoice screen for the job.
Review the invoices associated with the job.
Assign invoices to the correct party:
Producer
Buyer/customer
Enter the relevant weights and item details.
Mark whether the invoice is:
Pay on pickup
Pay ahead via payment link
Generate the invoices once the details are complete.
9. Review, edit, and send draft invoices 11:03
Go to the Invoices tab.
Confirm the invoices are in Draft status.
From draft status, you can:
Finalize and send
Edit
Download for the customer
Use the draft stage to verify accuracy before sending.
10. Invoice only part of a job when needed 11:34
If only part of a job is ready, generate an invoice for that portion only.
Leave the remaining portion uninvoiced until it is ready.
The system will show which splits have already been invoiced.
The job will not move to invoicing status until all invoices for the job are completed.
11. Handle split jobs with separate invoice timing 12:14
For split jobs, invoice each side when it is ready.
Example workflow:
Invoice the half that is ready now.
Return later to invoice the remaining half.
Use the invoice screen to select only the split that should be billed at that time.
Confirm the system marks already invoiced splits so you do not duplicate billing.
12. Use the activity tracker for customer history 14:11
Open a customer account to view the full activity tracker.
Review the customer’s paper trail, including:
Status changes
Text messages
Emails
Stored job data
Use the tracker to understand the full relationship history with the customer.
13. Use the activity tracker for job history 15:12
Open a specific job to view its activity timeline.
Review the end-to-end story of the job from scheduling through pickup.
Look for milestones such as:
Scheduled
Killed
Hanging weight entered
Cutsheet received
Use this timeline to verify progress and troubleshoot issues.
14. Manage pending requests directly from the calendar 16:51
Check the calendar for pending requests.
Recognize unscheduled requests by their low-opacity calendar appearance.
Use the calendar as the main workspace instead of switching between multiple pages.
Treat the calendar as the operational home page for daily work.
15. Filter calendar views by event type and species 17:25
Open calendar settings from the top-right controls.
Toggle event types to show only the work you need.
Toggle species filters to narrow the view, such as showing only beef.
Use filters to reduce clutter and focus on the jobs you need to manage.

Use the bars to understand how full each week is.
Hover over a week to see how booked out that week is.

Hover over the indicator and click Fix.
Update the job from the linked page without leaving the calendar workflow.
Use this shortcut when a job is missing required information, such as a buyer assignment.

Open a specific day from the calendar.
Add a calendar note for staffing or operational changes.
Close the day if no work should be scheduled.
Add extra capacity for a species when needed.
Save changes so the calendar reflects the updated day status.

Click View Day to open the sidecar for that date.
Use bulk actions to complete multiple tasks at once:
Mark all animals as dropped off
Enter hanging weights in bulk
Download all Cutsheets for the day
Download carcass tags
Use this view to avoid opening each job individually.
20. Download bulk Cutsheets as one PDF 21:17
When downloading Cutsheets for a day, use the bulk download option.
The system generates one PDF with each Cutsheet on a new page.
Use the single PDF for easier printing and screen viewing.
This is especially useful when displaying Cutsheets on a tablet or TV.
21. Use calendar-based workflow to reduce manual job updates 21:40
From the day view, update job statuses without opening each job record.
Use the calendar to move jobs through the workflow.
Enter weights, mark drop-offs, and download documents from one place.
Use this process to save time during busy production days.
22. Plan for QR-code and screen-based Cutsheet viewing 23:40
If your facility uses QR codes or screen displays, use the bulk PDF workflow to support that process.
Consider reordering or regenerating files if your workflow depends on a specific sequence.
Use carcass tags and QR codes to quickly open the correct animal or Cutsheet on screen.

Bulk actions from the calendar affect multiple jobs at once, so confirm the selected day before saving.
Custom fields should be configured carefully so they appear on the correct documents and at the correct capture stage.
