SOP: Configure Notification Preferences at the Customer, Job, Animal, and Split Levels

Objective

This SOP explains how to manage notification settings so the correct people receive the correct alerts. It covers how to enable, disable, and audit notifications at the customer, job, animal, and split levels.

Key Steps

1. Open the Customer Notification Preferences 0:12

  • Navigate to the Customer record.

  • Open Customer Notification Preferences.

  • Review the available notification types before making changes.

  • Use this area to control notifications for this customer only.

2. Turn Customer-Level Notifications On or Off 0:27

  • Toggle individual notification types based on the customer’s preferences.

  • Common options include:

    • Job Status

    • Scheduled

    • Received

    • Harvest

    • Ready for Pickup

    • Paid

    • Canceled

  • Enable only the notifications the customer wants.

  • Disable any notifications the customer does not want to receive.

3. Configure Special Customer Notifications 0:37

  • Set Drop-Off Reminders on if the customer wants them.

  • Set Cutsheet Requests on if needed.

  • Turn off Chat Messages from the Processor if the customer does not want message alerts.

  • Review Waitlist Notifications and enable or disable them as requested.

  • If the customer prefers only a Notification Summary, disable all individual notifications and leave the summary enabled.

4. Save the Customer Notification Setup 0:55

  • Confirm the customer’s notification profile reflects the requested settings.

  • Verify that only the intended notification types remain enabled.

  • Save the changes so the customer receives the correct notification behavior going forward.

5. Set Notifications at the Job and Animal Level 1:10

  • Open the relevant Job.

  • Add or select the Animal associated with the job.

  • Go to the Cutsheets or related job notification area.

  • Review the notification settings available for the animal/job relationship.

6. Disable a Specific Notification Before Sending 1:22

  • If a notification should not be sent, turn it off before the trigger occurs.

  • Assign or process the item as needed after disabling the notification.

  • Confirm the notification is prevented from sending for that specific animal/job.

7. Verify Notification Status in the Audit Log 1:28

  • Open the Notification Audit or notification history.

  • Confirm the system shows the notification was skipped.

  • Look for the message indicating notifications are disabled for the contact, animal, or split.

  • Use the audit log to verify the change worked as intended.

8. Re-Enable Notifications When Needed 1:38

  • Turn the notification back on if it should resume.

  • Note that the notification will not send immediately if the trigger has already passed.

  • Wait for the next trigger for the notification to be sent again.

9. Turn Off Notifications for the Entire Job 1:52

  • If no notifications should be sent for the whole job, disable notifications at the job level.

  • Confirm that all related notifications are turned off.

  • Understand that while job-level notifications are disabled, nothing tied to that job will send.

10. Disable Notifications for One Customer Within a Job 1:58

  • If only one customer on the job should not receive notifications, open the three-dot menu next to that customer.

  • Select the option to turn notifications off for that customer only.

  • Use this when the rest of the job should still receive notifications.

11. Apply the Correct Notification Scope 2:12

  • Choose the correct level before making changes:

    • Customer for customer-specific preferences

    • Job for all notifications tied to the job

    • Animal for notifications tied to a specific animal

    • Split for split-specific notification control

  • Confirm the scope matches the business need before saving changes.

Cautionary Notes

  • Enabling a notification after its trigger has already occurred will not send it retroactively. It will only send again on the next trigger.

  • Job-level notification changes affect all notifications tied to that job. Use caution before turning them off.

  • Customer-level changes only affect that customer’s preferences. They do not automatically change other customers on the same job.

  • Always verify changes in the audit log to ensure the notification was skipped or sent as expected.

Tips for Efficiency

  • Confirm the requested notification scope first: customer, job, animal, or split.

  • Use the audit log immediately after changes to avoid missed notifications.

  • If a customer only wants summaries, disable all individual alerts at once and leave the summary enabled.

  • Make changes before the next trigger to prevent unwanted sends.

  • Use the three-dot menu for quick customer/split-specific overrides within a job.
